Clocking In and Out on the Toast Terminal

Step-by-step guide for using the Toast POS time clock — selecting the right job code, clocking in at shift start, and clocking out through Shift Review or the Time Clock.

Overview

Every team member at UP Hospitality Partners clocks time through the Toast terminal at their restaurant. Accurate punches keep payroll correct, keep you compliant with labor law, and ensure you can perform job-specific tasks — like ringing orders — only when you are properly clocked in.

Important

It is against the law to work off the clock. You must be clocked in under the correct job code before you perform paid work, including ringing orders on Toast.

Before you clock in

A few checks before you touch the terminal will prevent the most common time-clock mistakes.

  • Notify your on-duty manager when you arrive on property.
  • Clock in within five minutes of your scheduled shift start (see the Employee Handbook for full time-clock policy).
  • Be in uniform and ready to work before you clock in — not while you are still changing or eating in the break area.
  • Know which job code applies to today’s shift (Server, Trainee, Bartender, etc.). If you are unsure, ask your manager before punching in.

Why the job code matters

Toast ties your permissions and labor reporting to the job you select at clock-in. The wrong job code can block you from tasks you need (for example, ringing tables) or record hours under the wrong role for payroll. Always confirm the code on screen matches the work you were scheduled to do.

After training

New hires often clock in as “Trainee” during onboarding. Once your manager clears you for floor service, switch to “Server” (or your assigned role) — do not stay on Trainee unless you are still in a training shift.

Clock in on Toast

Use the Toast terminal at your restaurant — the same device you use for POS and table service.

  1. Enter your server (employee) number on the login screen.
  2. Press “Time Clock” from the main menu.
  3. Select your job code — for example “Trainee” or “Server” after training. Read the label carefully before continuing.
  4. Press “Clock In” and confirm the success message on screen.

Double-check

If the terminal shows the wrong name or job after you punch in, stop and get a manager to help you correct the punch before you start working.

During your shift

Stay clocked in under the role you are actively working. If your manager moves you to a different job mid-shift (for example, from expo to server), follow your location’s procedure to change job codes — usually through the Time Clock with manager approval.

  • Do not ring orders or handle cash drawers unless you are clocked in under a job code that allows it.
  • Never clock in or out for another team member (“buddy punching”) — this is prohibited and may result in termination.
  • Do not adjust or delete time entries yourself; speak with your manager if a punch is missing or wrong.

Clock out — Shift Review (recommended)

At the end of a table-service shift, the recommended path is Shift Review. It walks you through checkout steps and clocks you out when you finish.

  1. Enter your server number and press “Go”.
  2. Open “Table Service”, then “Shift Review”.
  3. Complete each prompt (tips, cash due, etc.) as directed.
  4. Select “Finish + Clock Out” when Shift Review is complete.

Using Shift Review helps ensure tips and shift paperwork are submitted before you leave the floor.

Clock out — Time Clock (manual)

If you are not running a full Shift Review (or your manager directs you to use the time clock only), clock out manually:

  1. Enter your server number on the Toast terminal.
  2. Press “Time Clock”.
  3. Press “Clock Out” and confirm you are off the clock.

When in doubt, ask your on-duty manager which clock-out path to use for your shift type.

Common issues

Wrong job code selected

Tell your manager the same day. They can help correct the punch in Toast or payroll so your hours and permissions stay accurate.

Forgot to clock in or out

Report it to your manager immediately — do not guess times or ask a coworker to edit punches for you.

Cannot ring orders

Usually this means you are not clocked in, or you are on a job code that does not include order entry. Clock in under the correct role or see your manager.
